Refund & Cancellation Policy
At NE8XT, we deliver enterprise-grade AI conversational automation platforms, integrating directly with WhatsApp Business, Instagram, and web environments. This policy outlines our official billing, subscription cancellation mechanics, and refund terms.
1. Merchant of Record (Polar Software, Inc.)
All online transactions, subscription checkouts, recurring billing, and invoicing for NE8XT are processed by Polar Software, Inc. (“Polar”), acting as our legal Merchant of Record.
Polar is legally responsible for card payment authorization, sales tax / VAT calculation and remittance, fraud detection, and billing support. When purchasing any plan on NE8XT, your charge will appear under Polar, and you are subject to Polar’s Checkout Buyer Terms.
2. Strict No-Refund Policy
Because NE8XT provides immediate, intangible digital services and automated cloud infrastructure, all fees and subscription purchases are strictly non-refundable.
- Immediate Infrastructure Allocation: Upon subscription activation, NE8XT immediately provisions dedicated server resources, database storage, webhook listeners, and third-party API keys for your account.
- Irreversible LLM & Voice Compute Costs: Every interaction processed through our platform incurs real-time compute costs (OpenAI, Anthropic, Google, and Vapi voice tokens) that are permanently expended and non-recoverable.
- No Partial or Prorated Refunds: We do not issue partial, prorated, or full refunds for any unused days in a billing cycle or for unconsumed message quotas.
3. Subscription Cancellation Policy
You have full control over your subscription and can cancel at any time:
How to Cancel
You can cancel directly via your self-serve customer billing portal (accessible from your account settings or invoice receipt links provided by Polar), or by submitting a written cancellation request to support@ne8xt.com.
Effective Date of Cancellation: Takes Effect Next Month
When you cancel your subscription, the cancellation takes effect at the beginning of the subsequent billing cycle (the new month).
- Your account and AI services remain active with full access for the duration of the current paid billing month.
- You will not be billed again once the current billing month concludes.
- No charges or fees from the current active month are refunded upon cancellation.
4. Demonstrations & Evaluation
To guarantee that NE8XT satisfies your operational requirements prior to purchasing, we provide live interactive product demos across our specialized vertical pages (Doctors, Restaurants, Hotels). We strongly urge prospective clients to test our AI capabilities and contact our team with any workflow questions before committing to a paid plan.
5. Billing Inquiries & Dispute Management
If you believe there has been a duplicate charge or an erroneous invoice, please contact our support team immediately before initiating a payment dispute or chargeback with your bank. We are committed to swiftly resolving legitimate billing questions.
